TRADER TERMS & CONDITIONS
1. Definitions
“Organiser” means Food & Drink Festivals UK Ltd.
“Trader” means the person or business booking a pitch.
“Event” means the specific festival named on the booking form.

2. Booking & Payment
2.1 A pitch is only confirmed once the required payment has been received in full.
2.2 Traders may only sell the products approved at the time of booking.
2.3 Pitch fees are non-transferable without written permission from the Organiser.

3. Trader Cancellation Policy
If the Trader cancels their booking:
• More than 60 days before the Event:
50% refund of pitch fee.
• 30–59 days before the Event:
25% refund of pitch fee.
• Less than 30 days before the Event:
No refund.
3.2 Deposits are non-refundable unless the pitch is re-let.
3.3 If the Organiser re-sells the pitch, a refund may be issued at the Organiser’s discretion, minus an administration fee.

4. Event Cancellation or Changes
4.1 The Organiser may cancel, postpone, or relocate the Event due to circumstances beyond reasonable control, including but not limited to:
extreme weather, safety concerns, council restrictions, infrastructure failure, or force majeure events.
4.2 If the Event is cancelled by the Organiser, Traders will be offered either:
• A full refund, or
• Transfer of fees to a future event.
4.3 The Organiser is not liable for any indirect or consequential losses, including stock, staffing, travel, or loss of profit.

5. Attendance & Trading
5.1 Traders must arrive during the allocated setup window.
5.2 Late arrival may result in loss of pitch without refund.
5.3 Traders must trade for the full event duration.

6. Licences, Insurance & Compliance
6.1 All Traders must hold:
• Public Liability Insurance
• Relevant food hygiene certificates (where applicable)
• Any licences required for their trade
6.2 Traders are responsible for complying with Environmental Health, Trading Standards, and Fire Safety requirements.

7. Equipment & Utilities
7.1 Traders must supply their own gazebo, weights, tables, and equipment.
7.2 Power must be requested in advance and will incur additional charges.
7.3 Generators must be approved and silenced.

8. Behaviour & Conduct
8.1 Traders must behave professionally at all times.
8.2 The Organiser may remove any Trader for unsafe, abusive, or inappropriate behaviour without refund.

9. Waste & Cleanliness
9.1 Traders must keep their pitch clean and remove all waste.
9.2 Oil and food waste must be disposed of properly and responsibly

10. Liability
10.1 Traders trade at their own risk.
10.2 The Organiser accepts no responsibility for loss, theft, or damage to stock or equipment.
10.3 Traders indemnify the Organiser against claims arising from their activities.

11. Force Majeure
The Organiser is not liable for failure to perform obligations due to events beyond reasonable control including weather, pandemics, or government action.

12. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
